How to find documents
- Use the Search drop-down to help find for documents. It is the arrow on the right side of the search box.
- I suggest organizing your folders by topic and then by color. I find this works best for me.
- Also, when you name a document, think about how you may be looking for it in the future.
Sharing
- Students should setup a folder to share with you.
- You should setup folders by access.
- Remember....Anything created or moved into a folder inherits that folders sharing access.
- Remember...You must use the link under the SHARE button to link to a document (Forms are different).
Shared with Me
- Organizing student shared folders by grouping within your own folders.
- Use forms to create a spreadsheet with a link to each student's folder.

- Provide access to anyone with view access only.
- Students must select File - Make a Copy and then rename the template.
- Remind students to move their new file into the appropriate folder so you can see it (automatically places copies of files into the top level of My Drive)
Submitting Projects Using Google Forms
- Students create their project (this can be anything on the web - in Google Drive, Youtube, Prezi, etc). As long anyone with the link can access their work.
- You create a form that asks for student name (first and last if you want to sort), group if applicable, and a text field for the link.
- You can send the link via email or link to the form through the SEND FORM button.
- If the student's work is in Google Drive, they must select the SHARE button to get the link - NOT copy the URL from the address line.
- Students may continue working on their project after they submit as they are providing you a link to get to their project - not submitting a copy of the project itself.
- When you are ready to grade, open the responses spreadsheet (this is created automatically and may need to be moved into the appropriate folder) and select the link. This will take you directly to the student's work
You may also want to consider using a form to have students send you a link to the folder they have shared with you so you don't need to dig through your Shared with Me folder.
If it doesn't work it is one of these...
- If when you select the link it says you need to ask for access - the student hasn't placed the document in a folder that gives you access.
- If the link is bad? The student included the URL and not the SHARE link for the Google Document.
